Privacy Policy

How we collect, use and protect your personal data under UK GDPR.

Last updated: 16 October 2026

360 Bookkeepers (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal data we collect through our website, why we use it, and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

We are a UK bookkeeping service. For data protection purposes, we are the data controller of personal data collected via this website.

2. What personal data we collect

We may collect and process the following information:

  • Contact form: name, email address, phone number (optional), company name (if provided), service interest, and your message.
  • Newsletter: email address, and the fact that you opted in via our website.
  • Technical data: IP address, browser type, and basic request metadata used for security, spam prevention, and rate limiting. We do not use this to build marketing profiles.

We do not intentionally collect special category data (such as health or biometric data) through this website.

3. How we use your data and lawful bases

We process personal data only where we have a lawful basis under UK GDPR:

  • Contact enquiries — to respond to your message and discuss our services. Lawful basis: legitimate interests (responding to business enquiries) and/or steps prior to entering a contract.
  • Newsletter — to send occasional updates about UK bookkeeping, tax, and our services. Lawful basis: consent. You can unsubscribe at any time by contacting us.
  • Security and anti-spam — to protect our forms and systems from abuse. Lawful basis: legitimate interests (keeping our website secure).
  • Legal obligations — where we must keep or disclose information to comply with UK law.

4. Cookies and similar technologies

Our website uses essential session cookies needed for security features such as form protection (CSRF tokens). These are strictly necessary for the site to function and do not require consent under the Privacy and Electronic Communications Regulations (PECR).

If we introduce non-essential analytics or marketing cookies in future, we will update this policy and, where required, ask for your consent.

5. Who we share data with

We do not sell your personal data. We may share it only with:

  • Service providers who help us host the website or deliver email, under appropriate confidentiality arrangements.
  • Professional advisers or authorities where required by law.

If you contact us via WhatsApp, Upwork, or Fiverr, those platforms process your data under their own privacy policies.

6. International transfers

We aim to keep personal data within the UK / EEA where practicable. If a provider stores data outside the UK, we will ensure appropriate safeguards are in place (such as the UK International Data Transfer Agreement or adequacy regulations) where required by law.

7. How long we keep your data

  • Contact enquiries: typically up to 24 months after our last correspondence, unless we need to keep them longer for an ongoing client relationship or legal reason.
  • Newsletter subscribers: until you unsubscribe or ask us to delete your details.
  • Security / rate-limit logs: for a short period (usually up to 30 days) unless needed to investigate abuse.

8. Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you
  • request correction of inaccurate data
  • request erasure in certain circumstances
  • restrict or object to certain processing
  • data portability (where applicable)
  • withdraw consent at any time (for newsletter subscription), without affecting processing that already took place

To exercise any of these rights, email us at info@360bookkeepers.com. We will respond within one month in most cases.

You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO). We would appreciate the chance to resolve your concern first.

9. Data security

We take reasonable technical and organisational measures to protect personal data, including secure hosting practices, access controls for our admin area, form anti-spam protections, and limiting access to enquiry data to authorised staff only.

10. Children

Our services are aimed at businesses and adults. We do not knowingly collect personal data from children under 16 via this website.

11. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will change when we do. Please review it periodically.
