Xero vs QuickBooks vs FreeAgent: Which Is Best for UK Small Businesses?

Xero, QuickBooks and FreeAgent all handle MTD, VAT and invoicing — but they suit different businesses. Here is how to pick the right one before you pay for the wrong plan.

If you are weighing up Xero vs QuickBooks UK software, you have probably noticed the problem: every comparison sounds like an advert, and every plan page hides the one detail that matters to you. Pick wrong and you pay for features you never touch, or discover at the VAT deadline that your cheap plan cannot file the return you need. The choice is simpler than the marketing makes it look: Xero, QuickBooks and FreeAgent all do the core job well. What differs is who each one is built for, and which extras sit behind a higher plan.

Before you compare logos, compare your own business: are you VAT-registered, do you run payroll, and are you in Making Tax Digital for Income Tax yet? Those three answers narrow the field faster than any feature table.

The real cost of picking wrong

Here is how it usually plays out. A sole trader signs up for the cheapest plan they can find, then registers for VAT and finds their plan does not file VAT returns. Or a growing limited company picks a freelancer-focused package and hits invoice limits just as sales pick up. Moving software mid-year means exporting data, re-learning screens and re-connecting bank feeds while the business still needs invoicing. A week choosing properly now saves a month of untangling later.

There is also a deadline behind this decision. Making Tax Digital for Income Tax already applies to sole traders and landlords with qualifying income over £50,000, extends to over £30,000 from 6 April 2027 and over £20,000 from 6 April 2028. If you are in scope, you must keep digital records and send HMRC a short quarterly update — due 7 August, 7 November, 7 February and 7 May — using compatible software, which HMRC does not supply. Your package is your route to compliance.

Xero vs QuickBooks UK: the short answer

For most UK small businesses, any of these three handles invoicing, bank reconciliation, VAT returns and MTD submissions. The differences show up at the edges: how many invoices you send, whether you employ staff, and how much help you want from your accountant.

Xero: the safe all-rounder

Xero is the one most accountants already know, which matters more than it sounds: if your bookkeeper or accountant works in Xero daily, your questions get answered faster and your year-end handover is smoother. It has a large add-on marketplace, solid bank feeds and plans that scale from sole trader to growing limited company. Its cheapest plan is aimed at businesses that are not VAT-registered, so if you are VAT-registered, check your plan actually files VAT returns before you commit.

QuickBooks: the straightforward choice for growing firms

QuickBooks is strong on invoicing and reporting, and its screens tend to feel the most approachable if you do the books yourself. It scales well as you add staff and sales, and handles MTD for Income Tax and VAT on the right plans. Payroll is usually an add-on, so price it into your comparison if you employ people. As with Xero, the dedicated sole-trader plan does not file VAT returns, so VAT-registered businesses need a step up.

FreeAgent: the freelancer favourite

FreeAgent was built for sole traders, freelancers and contractors, and it still shows: time tracking, invoicing and a clear tax overview are front and centre, and it covers MTD for Income Tax and VAT. It can be free with a business account at one of its partner banks, including NatWest, RBS and Mettle — the cheapest route for many one-person businesses. It suits larger companies less well, so growing firms often outgrow it.

The plan trap: check the plan, not just the brand

This is the single most common mistake. Every provider sells several plans under one brand name, and the cheapest often leaves out exactly one thing you need: VAT filing, payroll, multi-currency invoicing or a higher invoice limit. Two checks before you pay:

  • Does this exact plan file the returns you need — MTD for Income Tax quarterly updates, VAT returns, or both?
  • Does it include payroll, or is payroll a paid add-on, and how many employees does that cover?

Prices and introductory offers change often, so check the provider's current pricing page rather than trusting any price in a blog post. What matters more than a few pounds a month is whether the plan covers your filings without add-ons.

How to choose this week

Do this in order and you will have a decision by Friday:

  1. Write down your must-haves. VAT-registered or not, payroll or not, in MTD for Income Tax now or from April 2027, and roughly how many invoices you send a month.
  2. Shortlist on filings first. Cross off any plan that cannot file the returns you need.
  3. Take the free trial seriously. Connect your bank feed, send a test invoice and reconcile one real month. If you hate the screens on day three, you will hate them in month six.
  4. Ask your accountant. If you already work with one, their familiarity with your software saves you time and fees. If not, pick the package your future accountant knows best.
  5. Keep your records tidy from day one. HMRC can charge a penalty if your records are not accurate, complete and readable. Photograph receipts as they arrive and reconcile monthly, not yearly.

For what records HMRC expects, see GOV.UK's guide to keeping your pay and tax records.

When to hand it to a bookkeeper

Software does the recording; it does not check your work. If your bank feed has months of unreconciled transactions, your VAT return keeps throwing up questions, or you are approaching the MTD threshold and have not signed up, that is where a bookkeeper earns their keep. We can set the software up properly, reconcile the backlog and keep the quarterly updates on track.
